Job Description

We are recruiting for a dual role position: Executive Assistant for the General Counsel and Legal Operations Manager. This is a great opportunity if you are an experienced Senior Legal Assistant who wants to step in to the legal operations space. 
In this role, you will report directly to the General Counsel and sit on the Legal Leadership team. In this role you will be working independently, you will have great communication skills, confidence presenting, the ability to work collaboratively across the business, an interest in innovation and technology, meticulous organisation and proactive strategic planning.

Key duties and responsibilities

Executive Assistant focus: 

  • Full mailbox monitoring & management
  • Expenses
  • Full diary control
  • Organising Board meetings and associated document production
  • Comfortable understanding and drafting minutes and legal documents
  • Arranging execution of documents
  • Cross collaboration with Private Equity shareholders and ELT for VIP meetings 
  • Frequent international travel logistics
  • Creating reports & presentations in PowerPoint
  • Planning events (small and large -corporate dinners, team building days, Board dinner and drinks, in office events and training)
  • Assisting with ELT meetings in London office
  • Managing holiday planning and absences for the team
  • Answering audit requests
  • Providing additional & ad hoc support to the legal team (LLT) 

Legal Operations focus: 

  • Strategic budget planning
  • Arranging professional development for team
  • Organising team meetings with internal & external speakers
  • Upgrading and improving tech used by legal team, CLM/CRM, AI, etc
  • Project management (i.e. new tech implementation)
  • Engaging external counsel and reviewing work in progress
  • Create and monitor PO's for legal team & review external spend
  • Creating guides for the company on new systems/updates/ welcome packs for new starters etc
  • Giving training on legal software to wider company (i.e. Linksquares)
  • Lead integration projects for legal (i.e. for acquisitions) coordinating internal members of the legal team and tracking/monitoring progress
  • Lead for legal on the IT Operating Board (cross collaboration between Norstella functions on software and tech initiatives) 

Key requirements:

  • Experience as a Legal EA with great operations knowledge or legal operations professional with previous experience supporting senior stakeholders (Partners, C-suite)
  • Relevant experience working in a legal department (in-house or private practice firms), supporting senior execs (Partners) in a busy, fast paced environment
  • Experience with Microsoft office programmes: Power Point, Word, Excel

Nice to have

  • Law qualifications and degree not essential as long as you have work experience in the corporate legal space
  • Knowledge of Contract Life Cycle Management (CLM) system
  • Previous experience working in Basware / NetSuite / a similar PO raising software
