Job description 

Norstella is seeking a detail-oriented and organized Equity Plan Administrator to join our team. This role will be responsible for the day-to-day operations and management of the Company’s multinational equity compensation plans, ensuring these plans are operated consistent with the scheme rules and applicable laws and regulations.
 
This role will be key to building, maintaining, and refining processes, procedures, and reporting that are critical to operating these plans. Depending on needs and availability, the role may also support other day-to-day work of the Legal, Compliance, and Privacy Team. The role requires a high level of accuracy, meticulous attention to detail, and the ability to partner with internal teams across the business. The ideal candidate will be comfortable working on and handling highly confidential projects and data, and will have excellent professional integrity and discretion. 
     

Key duties and responsibilities

  • Day-to-day operations of the Company’s equity compensation plans including, but not limited to, creating and implementing processes and procedures necessary to appropriately operate these plans, tracking and maintaining information within the Company’s equity management system, and other work, as needed, to ensure the proper operations of the equity plans
  • In collaboration with the Legal and Company Secretarial Teams, prepare and distribute various equity related documents and agreements including, but not limited to, award and buyback agreements
  • Support the timely preparation and filing of regulatory and tax filings relating to the equity plans
  • Respond to inquiries from participants, leadership, and external advisors regarding the Company’s equity plans
  • Partner with the Company’s external consultants and advisors, as needed, to timely share and provide information relating to the equity plans
  • Reconcile and maintain accurate information relating to the Company’s equity plans for audit and other purposes
  • Stay informed of best practices and legal and regulatory changes impacting equity plan administration
  • Support other Legal, Compliance, and Privacy Team initiatives as needed 

Key requirements 

  • Prior experience operating and administering multinational equity compensation plans including, but not limited, the tax and legal implications to operating such plans 
  • Familiarity with equity management software and systems
  • Excellent organizational skills, attention to detail, and ability to handle multiple tasks in a fast-paced environment
  • Strong communication skills and the ability to effectively partner with employees and teams at all levels of the organization
  • Proficiency with Microsoft Office 365 and particularly Excel

Preferred qualifications

  • Bachelor’s degree in law, finance, business administration, or a related field
  • Prior experience with a profit interest equity compensation scheme preferred but not required 
  • Prior experience working in a PE backed company preferred but not required 
  • Prior experience with a company based or with operations in Luxembourg preferred but not required
